Enlighta Vendor Spend Governance
Govern Vendor Spend. Reduce Value Leakage.
Organizations can lose financial value when supplier charges do not match contractual terms, reported consumption is not adequately validated, applicable credits are missed, or spend exceeds commitments without timely visibility.
Enlighta connects commercial terms, service consumption, charge validation and spend monitoring to help organizations identify discrepancies and take action before financial leakage goes unnoticed.

The Enlighta Platform at a Glance
One governed view of vendor spend — commercial terms, services consumption, and deliverables and invoicing connected end to end.

Where Does Vendor Spend Leak Value?
Four leakage patterns. Click each card to reveal the consequence for the organization.
Where Enlighta Fits in the Procurement Lifecycle
S2C, P2P and S2P describe related stages of the procurement lifecycle. Enlighta Vendor Spend Governance focuses on the ongoing financial governance of vendor commitments, service delivery, charges and spend.
Service spend requires more than matching an invoice total.
Goods and services are validated differently. Enlighta connects the commercial terms with the consumption and approvals used to establish expected charges before supplier invoices are validated.
How Enlighta Governs Vendor Spend — One Connected Workflow
Seven connected stages govern every applicable charge type — beginning with AI-assisted contract extraction and ending with hand-off to downstream financial systems. Each stage addresses a specific leakage risk. Click a stage.
Different Commercial Models. One Governed Spend Process.
Vendor contracts can use different pricing models. Enlighta brings the applicable commercial terms, consumption, deliverables, adjustments and charges together to support financial validation and pro-forma preparation. Click a model.
Not every contract uses all five models — the applicable model and conditions depend on the contract. The product walkthrough that follows uses the consumption-based model as its worked example. The examples above are illustrative — they are not quotations from Enlighta source documents, and not every model is calculated automatically by the product.
Pro-forma Invoice Review — Multiple Invoice Line Items.
A supplier's pro-forma invoice may combine recurring fees, approved resource consumption, milestone payments, one-time charges, expenses, incentives and applicable SLA credits. Each line item is evaluated against its relevant contractual terms and supporting information, then reviewed and approved before it becomes the reconciliation baseline. Select a row to inspect its calculation basis; click a review status to advance it.
| Line item | Amount | Validation basis | Review status |
|---|---|---|---|
| Fixed recurring feeapplication support | $10,000 | Contracted fee and scope | |
| Resource consumptionon-site project manager | $19,200 | Approved quantity and contracted rate | |

| One-time chargetraining | $2,500 | Agreed terms and supporting evidence | |
| Expensetravel | $1,200 | Applicable contract terms and evidence | |
| Incentiveagreed performance-based bonus | $3,000 | Agreed performance measure and result | |

Product Walkthrough
Follow One Vendor Engagement
We will follow an illustrative managed-services engagement from its commercial terms through commitment monitoring, consumption review, charge validation, and financial insight. At each step we answer: what do we know, what evidence supports it, and what decision needs to be made?
The time-and-materials invoice-validation example in Steps 4–8 is a separate illustrative scenario — its figures are not added to this PO's consumed total.
Establish the Commercial Baseline
Enlighta helps make contract financial terms available for governance by extracting and configuring the relevant rates, resource units and commercial conditions. The contract already exists — Enlighta does not create the agreement. Select a rate to use it in subsequent calculations.
Extracted attributes: pricing table, resource units, term and applicable conditions. No amendment data configured in this demo.
| Rate ID | Resource | Unit | Rate | Status |
|---|---|---|---|---|
| RATE-TM-001 | Service Analyst | Hour | $120.00 | Active |
| RATE-TM-002 | Senior Service Analyst | Hour | $150.00 | Active |
Define Who Reviews Consumption
Configure the service tracks, service towers and review responsibilities that determine how consumption is validated before expected charges are generated. The configured approval sequence below is what Step 4 enforces.
Configured charge rules for this track: time-and-materials base rate only. Service credits are applicable when contractual conditions occur; no one-time charges, deliverable milestones, or travel and expenses are configured for this example.
Explicit per-track configuration — not every service track requires the same approval sequence. The sequence above is exactly what Step 4 enforces.
Nothing is approved in the dark — every routed decision is recorded with its reason and owner.
Validate Consumption-Based Charges
Where a contract uses consumption-based pricing, Enlighta helps capture reported usage, validate the applicable quantities and rates, and calculate expected charges from approved consumption. Actuals may be entered by suppliers or captured through configured data feeds.
Other commercial models — including fixed fees, project deliverables, milestone payments, one-time charges, incentives and SLA credits — follow their applicable contractual validation rules, not this hours-based workflow.
Validate Consumption Before Calculating Charges
Service-track leads review consumption first. Service-tower leads validate it where required. Only approved consumption can proceed to expected-charge calculation.
Calculate What Should Be Charged
Apply the configured commercial rate to approved consumption to establish the expected charge for the service track. The calculation below is live — it uses the approved quantity and the rate selected in Step 1.
| Line | Description | Qty | Rate | Amount |
|---|---|---|---|---|
| 1 | Service Analyst | 160 hours | $120.00 | $19,200.00 |
Reconcile the Supplier Invoice Against Approved Expected Charges
Each supplier invoice line item is compared against the reviewed and approved expected line items — the reconciliation baseline. Reconciliation can be automated using AI or performed through manual review; this walkthrough shows a reviewer examining an AI-flagged variance. Select a line to see the contracted rate, invoice rate, expected amount and variance.
| Line item | Expected | Supplier invoice | Difference |
|---|---|---|---|
| Hours | 160 | 160 | 0 |
| Hourly rate | $120.00 | $135.00 | +$15.00 |
| Amount | $19,200 | $21,600 | +$2,400 |
Turn Discrepancies Into Action
When a reconciled line item does not match its approved expected charge, Enlighta routes it as an exception with a documented decision before it is treated as resolved. The reviewer can request correction, dispute the charge, escalate it, or accept it when the evidence justifies that decision — the resulting status and reason are recorded. The approved expected charge remains the baseline; a discrepancy is not automatically an overcharge.
Identify Spend Exposure Before the Contract Ends
Monitoring spend against commitment and current run rate helps stakeholders identify potential overruns early enough to investigate consumption, review forecasts and determine appropriate action.
Purchase-order commitment tracking and run-rate monitoring are shown here; change-order exposure tracking is not part of this example.
One Connected Workflow — Contract Terms to Controlled Spend
The full vendor spend governance process in one picture: contractual terms feed validation, approved charges set the pro-forma invoice baseline, the supplier invoice is reconciled against it, exceptions are resolved, spend is monitored, and validated information flows to downstream financial systems.
